Advance Shipment Notifications and Receipts (both historical and WIP) retrieved from the database.
QRY style action grids are designed so that you can view both historical and work-in-process data together in the same place. However, they are not pre-loaded with data from the database. Instead, you must compose and submit a query to populate the grid. For more information on this subject, see Queries.
This query-based action grid will retrieve inbound records from the database. Each record displays either a single ASN or receipt, which includes hyperlinks to associated stock, unit, and conveyance information that may be available.
Data Elements
Whs Reference
3PL reference number assigned to a shipment of stock delivered from the client to the warehouse. The number may refer to an "In-Transit" (ASN) or a "Receipt".
An In-Transit is expected stock that has not yet arrived at the warehouse. A Receipt represents stock that has arrived and is currently "on-hand" at the Warehouse.
Type
Transaction type relating to the disposition of the associated stock.
Following is a list of valid types:
ASN - Advance Shipment Notification. Stock that is expected but has not yet arrived at the warehouse; i.e., in-transit.
REC - Receipt. Stock associated with a Receipt has arrived and is on-hand in the Warehouse.
Linked
In-Transit (ASN) or Receipt numbers that are linked to this document.
Client
Business that owns stock stored in a warehouse. Clients are billed for various logistics services (handling, storage, inventory tracking, transportation, etc.).
Note: It is possible for the warehouse to bill clients for services without tracking their inventory.
Client Ref
Client's own internal number or code that they associate/link to a shipment to the Warehouse. Specifically, it is the client's own inbound number.
Whs
Warehouse: the physical building that is used to store inventory.
A warehouse also contains multiple location codes each of which may be composed of an aisle, side, column and tier code. It is possible to define a single logical warehouse that represents multiple physical buildings
Date
Date referring to either the actual date that inbound stock was received into the warehouse (for a "Receipt") or the expected arrival date of the stock at the warehouse (for an "In-Transit").
Time
Time referring to either the actual time that inbound stock was received into the warehouse (for a "Receipt") or the expected arrival time of the stock at the warehouse (for an "In-Transit").
Car/Container
ID representing a specific car or container (e.g., on an ocean-going vessel) in which stock resides before shipment to a warehouse.
Pro/Way Bill
ID representing a specific car or container (e.g., on an ocean-going vessel) in which stock resides before shipment to a warehouse.
Rec Type
Receipt Type: Code used to categorize like Inbounds for various processing, reporting, and query capabilities. Following are the four system-defined Receipt Types that exist (and which may not be changed/deleted by a user):
D = Outbound is Denied/Refused
P = Purchase/New Receipt
R = Return
T = Internal Transfer
It is also possible for users to define Receipt Types.
Stg Type
Inbound Storage Type. A code indicating storage-related activities or requirements for the stock being received.
The following storage types exist:
B = Blast Freezing
C = Cooler
D = Dry
F = Freezer
Q = Quick
R = Regular
X = Cross Dock (Billing Related)
Note: Storage types are not user-defined.
Stock
Click view to link to Inbound Stock; i.e., products (description, location, quantities, etc.) coming into the warehouse.
Conveyances
Click view to link to Inbound Conveyances; i.e., pallet IDs that contain the stock when it comes into the warehouse.
Unit IDs
Click view to link to Inbound Unit IDs (if stock is organized into units, serial numbers, etc.) coming into the warehouse.
Pieces
Total number of pieces associated with all products received on the Inbound. Each piece refers to one Stock Keeping Unit (SKU) (box, case, bag, etc.) of a specific product. The SKU relates to how a specific product is typically tracked, counted, moved, etc.
Example:
Product A is tracked by the box and 10 are to be received.
Product B is tracked by the case and 20 are to be received.
Product C is tracked by the bag and 30 are to be received.
A total of 60 pieces are to be received on the Inbound.
Weight Gr
Total Gross Weight of all stock to be received on an Inbound.
Wgt Net
Total Net Weight of all stock to be received on an Inbound.
Cube
Total Cube (volume) of all products to be received on an Inbound.
A specific product's Cube is calculated by multiplying by its standard Stock Keeping Unit dimensions together; i.e., Length by Width by Height).
Convs
Total number of Conveyance IDs expected or actually received for the Inbound.
Calc Convs
Calculation of the total number of Conveyance IDs that may be received for the Inbound.
The system calculates this value by dividing each product's total inbound quantity by the product's standard pallet quantity.
Example:
Standard Pallet Quantities:
Product A = 100 pieces
Product B = 50 pieces
Product C = 75 pieces
Inbound Stock Quantities:
Product A = 200 pieces
Product B = 60 pieces
Product C = 30 pieces
Calculated Number of Conveyances:
Product A = 200/100 = 2 Conveyance ids
Product B = 60/50 = 2 Conveyance ids
Product C = 30/75 = 1 Conveyance ID
Total Calculated Number of Conveyance IDs = 5
Notes: The system assumes that products will not be mixed on the same Conveyance. Also any remainder from the calculation constitutes another Conveyance (For example, if the product's standard pallet quantity is 100, and 101 pieces are to be received, then 2 Conveyance IDs are expected).
Carrier
Code representing the carrier who transports stock related to the Inbound from its source (client, vendor, etc.) to the warehouse. Normally a carrier is assigned to the Inbound by the client.
The carrier is typically a third party company but they could be owned/operated by the customer, client, or warehouse.
Driver
Name of the driver used by the carrier who delivered the inbound stock from its source to the warehouse.
Tractor
Tractor Number associated with the carrier that delivered the inbound stock from its source to the warehouse.
Trailer
Trailer Number associated with the carrier that delivered the inbound stock from its source to the warehouse.
Seal
Seal Number associated with the carrier that delivered the inbound stock from its source to the warehouse.
Temp Frnt
Temperature of the front portion of the carrier recorded when it arrives at the warehouse with inbound stock to unload.
Temp Mid
Temperature of the middle portion of the carrier recorded when it arrives at the warehouse with inbound stock to unload.
Temp Bck
Temperature of the back portion of the carrier recorded when it arrives at the warehouse with inbound stock to unload.
Cust
Inbound Customer Code representing the business entity (Client, Vendor. etc.) from which the Inbound shipment originated.
The code "SAME" indicates that the Inbound client and customer are identical.
Note: The Inbound Customer Code is also known as a "Ship From".
Address
Address (Street Name and Number) of the customer from which the Inbound was shipped.
St/Prv
State (or Province) Code of the customer from which the Inbound was shipped.
City
City (Town, Village, etc.) of the customer from which the Inbound was shipped.
Zip/Pst
Zip (or Postal) Code of the customer from which the Inbound was shipped.
In Status
An Inbound Status is the Inbound's Current/Last Status.
The system automatically assigns a pre-defined Status Code to an Inbound after an application task is performed (e.g., a Receipt is Created, an Invoice is Printed, etc).
Stat Desc
Description of the current/last Status Code that is attached to the Inbound ("Receipt Created", "Receipt Rated", "Receipt Invoice Printed", etc.).
PCT Recvd
Percentage in which an Inbound has been received/completed.
Operators
RF operators in the warehouse who are assigned to a specific order/receipt to perform various tasks. See RF Operators.
Audit Prtd
Indication if an audit is printed for a receipt.
The system may be configured to ensure that an Audit Report must be printed after Inbound stock is received into inventory (to verify that the correct Products, Lots, Quantities, were recorded) but before the warehouse charges for any inbound services (Handling, Initial Storage, etc.).
Note: Audits are only printed for Receipts (they are not used for or relevant to In-Transits).
Rated
Indication that a Receipt has been Rated.
Stock may be received/recorded into inventory via Radio Frequency devices or manually entered into the system after it been physically received and put away without charging for warehouse services (handling and storage).
Later, a user may recall the "Un-Rated Receipt" and request that the system automatically "Rate" the Receipt to charge for handling and storage based on predefined product based rates).
Inv Prtd
Indication that an Invoice has been printed for the Receipt.
End of Day
End of Day flag indicating that the Receipt has been "closed" (may no longer be changed/modified).
The running of the "End of Day" process "closes" all printed and accepted receipt invoices. If the Financial System is used then it also updates the General Legder (handling and storage revenue accounts) and the Accounts Receivable (creating the Receipt Invoice in the Sub Ledger).
EDI Sent
Indication that an Electronic Data Interchange (EDI) transaction set is sent to the Trading Partner regarding the Inbound.
For example, if the Inbound is a Receipt, then an EDI 944 transaction set might be sent to provide the Trading Partner (Client) with details concerning the actual stock and quantities received by the Warehouse.
Appt#
Number representing delivery-related information linked to an Inbound that is to be transported by a carrier from a source to a warehouse.
Appointment information (typically) includes the following:

Time of Delivery

Client
Client Reference
Customer Reference
Dock Door/Location
# of Pieces
Weight of Order
# of Pallets
Etc.
Apt Status
Code indicating the current appointment status.
Door
Specific location at the warehouse where the carrier is scheduled to deliver inbound stock; e.g., Dock Door 15.
Note: A Door location need not be assigned to an appointment at the time of its creation or any time afterwards.
Time
Time at which the carrier is scheduled (expected) to deliver stock to the warehouse.
Invoice
Invoice generated by the warehouse to charge a client for the receiving, unloading, handling, put away, and initial storage of stock.
Inv Date
Date of the Receipt invoice.
This is normally the day on which the Receipt was rated and serves as the date for which the General Ledger system uses to post/record related types of Revenues (e.g., handling and storage) and the Accounts Receivable system uses to age the invoice and determine when it is due (to be paid by the Client).
Inv Terms
Terms of Payment Code relating to the Receipt Invoice.
An example might be "N" = Net 30 Days (where the client needs to pay the entire invoice amount in 30 Days and there is no discount for early payment).
No Charge?
Indication that all charges are suppressed on the Receipt Invoice.
Typically this column will have a "No" value.
Bill-To
Indication that there is a third party Bill-To (Customer, Carrier, etc.) that will pay for some or all of the handling and initial storage for the inbound invoice and future recurring storage charges.
OSD
Indication that there are overage, shortage or damaged goods for the Inbound.
This column may contain none, some or all of the following values.
O = Overage
S = Shortage
D = Damages
Int Trf
Indication that the Inbound is a result of an internal transfer That is, if ownership of the stock was changed from one client to another client.
Deleted?
Indication that the Inbound was Deleted.
Loc Assign?
Indication that locations are assigned to an In-Transit.
This is used to check which In-Transits require pre-assigned put-away or storage locations so that when the stock does arrive it may be "quickly received" into the designated locations.
Notes
Inbound Notes typically contain information concerning tasks that may need to be performed in relation to Receiving and Billing.
Notes are created and used for communication between Warehouse staff and contain (amongst other things) the note's author and date/time sent but are not available for viewing by Clients.
Remarks
Multiple Inbound Remarks may originate from either the Client and/or Warehouse and typically contain information concerning tasks that need to be completed during the receiving of the Inbound.
Notes: Although a remark may contain information concerning specific stock it is NOT associated with a specific Inbound line (i.e. a Product and Lot). If this column contains the value of "No" then no remarks are associated with the Inbound.
Each row (record) in the Inbounds WIP action grid is comprised of several columns (fields). Click on one of the column titles below for a definition of the data element it represents:
Using standard Action Grid Functionality, the data may be sorted, filtered, and sub-totaled for various types of analysis. The results may be converted to a chart and/or output to external format (PDF, Excel, XML etc.). Selected data may also be used as the source from which to take action to change the status of ASN/Receipts.
Drill-Downs From Inbounds QRY
Some of the data elements for Inbounds QRY act as hyperlinks to other action grids that may contain further details related to the record selected.
Stock | Invokes the Inbound Stock action grid which provides details about the products (description, location, quantities, etc.) specified in an incoming transaction. |
Conveyances | Invoke the Inbound Conveyances action grid which provides information about the conveyances (e.g., pallet IDs) specified in an incoming transaction. |
Unit IDs | Invoke the Inbound Unit IDs action grid which provides information about the units (if stock is organized into units, serial numbers, etc.) specified in an incoming transaction. |

Exits the current level of a drill-down (if activated). The Back All (double arrow) and the Back (single arrow) buttons are activated (turn red) whenever the current action grid is the result of a drill-down invoked by hyperlinked data elements. If activated, you can use the Back button to exit one level of grid at a time. Use the Back All button to navigate out of all levels and return to the initial action grid. |
