Business Benefits

Most Warehouses book delivery appointments for inbound and outbound traffic. This is usually done by a specific department and is done manually (i.e., by using an appointments log book).

The disadvantage of this:

  • knowledge of the arrangements is not easily distributed to other personnel (like those in Customer Service),
  • it usually relies on one person.

This program allows you to maintain an on-line appointments log, with general access. Even if one person still enters the appointments, everyone else can now have access to up-to-date information about the arrangements being made.

Usage

Use this job to maintain an Appointment Book for inbound and outbound deliveries.

The program displays a continuously updated screen, sorted in date and time sequence, identifying all the appointments made, together with their status (e.g., arrived, late, etc.).

New appointments can be made directly from the same screen, as well as notification of arrivals and departures.

If Carriers arrive without an appointment, this situation can also be handled.

Preconditions

Carrier, Carrier Contacts, Client, and Product codes must have been set up in programs:

CR.38 [Carriers], to setup carrier and carrier contact (carrier contact must be setup with code RE)

CR.06 [Client Names and Addresses

CR.62 [Client's Inventory Products].

Whenever a new Appointment is being entered, the program will check the table set up in program RE.03 [Appointment Booking Table] to determine if the maximum number of Appointments has already been reached. It it has, the program will warn the Operator with a message.

Subsequent Actions

The Appointment Book can be used by Warehouse managers for scheduling resources and managing workload.

The record of appointments and subsequent activity can also be used in dealing with Carriers "after the fact" (e.g., to prove that a delivery was late, no appointment was made, etc.).
